MOS case number explained
After you submit in MOS, the voivodeship office registers your application as a case and gives it a number. Until that happens, you have a submitted application but not yet a case number.
What a case number is
PolandEase explanation
A case number (numer sprawy, also called sygnatura or znak sprawy) is the reference the voivodeship office gives your application when it opens a case. The office uses it in every letter about your case, and you use it when you contact the office or check your status.
Submission and case registration are different
PolandEase explanation
- Submission happens in MOS. It is instant, and the UPO proves it.
- Case registration happens at the voivodeship office, later. This is when the case number is created.
So it is normal to have a UPO and no case number for a while.
When it appears
Official information
The Mazowieckie office says that after it registers the application, it sends an email with the case number. A separate code for linking the case to an inPOL account is also sent by email when the application is registered.
PolandEase explanation
No official source we have found gives a fixed number of days between submission and registration, so we do not give one either.
Where to look for it
- The inbox (and spam folder) of the email address you entered in the MOS application.
- Letters from the office: the summons and any request for documents carry the case number.
- In Mazowieckie, your inPOL account, once you have linked the case with the code from the office.
Official information
MOS itself does not provide case status updates. Those come from the voivodeship office.
What to do if you still do not have one
PolandEase explanation
- Check that the application shows as “Sent” in MOS and that you have the UPO. Without a UPO, the application was not submitted.
- Check the email address you entered in the application, including spam.
- Contact the voivodeship office handling your case and give them the details from your UPO. In Mazowieckie the infoline is +48 222 500 119 (weekdays, 8:00–16:00).
Keep the UPO in the meantime. It is your proof of the submission date.
